Kick-off Meeting

We have developed a NEXTSYSTEMS Start Here™ guide that comes with your ComputerEase System and manuals.  We outline exactly step by step what your staff needs to do before each training session. We plan your software implementation just as you plan and schedule your construction projects with milestones, a project checklist and a critical path schedule.

Who Should Attend

The kick off meeting should be attended by all major decision makers in your company.  In addition, if your company employs an outside CPA, it could be beneficial if they were in attendance.  While it is not necessary for your CPA to be present all day, it would be beneficial for them to be involved during the first phase of the meeting, where expectations and General Ledger structure is decided.

What to Expect

The Kick- off meeting is the first step of the implementation process.  This will give your company and staff a chance to meet your coach.  Your coach will be your main point of contact during the implementation process.

One of the main points of discussion will be your “Go Live” date.  This is the date you expect your company to begin to fully utilize your ComputerEase Software System and stop using your old system.  When deciding on this date there are many considerations including existing workload, vacations, holidays and the realistic expectations of your staff?  It is generally better to be conservative and well prepared for the transition, than to be overly aggressive.  This transition will add additional work to your staff and an unrealistic “Go Live” date can add un-needed stress and pressure.

Once your “Go Live” date has been agreed upon, we will then discuss your implementation and training schedule.

During your Kick-off meeting we will also configure your ComputerEase Software System according to your company’s requirements.  ComputerEase is a very flexible system and the configuration can be involved.  Expect to spend at least 4-6 hours to complete this process.  NEXTSYSTEMS also provides a sample company with common settings that may be implemented to save time and possible confusion.  This sample company can be modified to your company’s needs.

The first step in the configuration will be the definition of your General Ledger and Job Costing numbering structure.  This will include a discussion of departmentalization needs and the reporting options on your Job Cost and Financial reports.

Training Schedule

We develop a personalized training schedule with your team. We make suggestions on how to implement ComputerEase to take full advantage of it’s powerful features, yet we customize your training program according to your team’s skill level so as not to over-complicate the process.  Later we will fine tune the system and take your company to the next level as needed.

Training & Testing

One of the keys to a successful implementation is training and testing.  If a system is implemented without proper training and thorough testing it will be a difficult implementation at best.  Your coach will guide you through your suggested training path and educate you on each individual module you have purchased.  You will also be given testing scenarios to ensure that the system is both set up correctly and functioning with the expected end result.

Construction Accounting Basics Training

We customize your training according to your particular company’s needs and size.  We have small construction businesses that have a handful of people doing $3M a year in projects to very large construction firms that do over $300M in sales with 2000 plus employees in multiple states.  We do not use a cookie-cutter approach; one size fits all types of construction.

We find some of the contractors we work with have staff with basic accounting knowledge but sometimes lack a deeper understanding of construction accounting.  

We have resources that can spend some extra time with your staff reviewing how transactions in the system will affect your job cost and financial reporting. 

Our Start Here™ guide provides daily, weekly, and monthly checklists to help your staff become more productive. The workbook also shows flow charts for those that like a more visual presentation to understand the process.

This process and training alone will help you reduce the cost of future audits or reviews, and reduce the time it takes to close your monthly, quarterly, and year-end financials.
